OFFICE MANAGER  - The Outdoors Project

The Outdoors Project runs afterschool clubs, toddler groups, forest school sessions, school workshops & holidays clubs for kids age 5-12. We require a full time Office Manager to work as part of the young team to deliver organised, fun and safe activities. 

A varied role for someone that has a good level of computer skills, who enjoys organising and is able to prioritize and manage people. The new recruit will be expected to attend club sessions (paid) as part of training. The ideal candidate will be proactive and keen to build and expand on relationships within the organisation and to recommend and implement efficient systems as the business continues to grow.

SALARY: range of £16,000 - £19,000 per annum experience dependent.
HOLIDAY: 20 days holiday + 8 days bank holiday  and 1 day holiday acrru’d per full year of service capped at 25 days per year
HOURS will be 35/40  hours per week 9-5pm/1 hour lunch   (can be slightly flexible on start/end times)

The Role:
- Answering general enquiries via phone
- Processing bookings and payments  by email and phone
- Staff liaison – managing staff rota, Management of Staff database (DBS/First Aid etc.). Regular liason with Logistics Manager re. bookings for the week and equipment/vehicle requirements.
- Production/updating of Staff Training manuals
- Liaising with schools with regards After school club dates - maintaining efficient and freindly contact with school offices re. communication of OP information and yearly scheduling of clubs.
- Management  of Club customer information registers from database
- Website, social media and mail list management,  maintenance of key website information
- Preparation and organisation of distribution of basic marketing resources
-  Management and implementation of office systems, master documents
-  Maintain tidy office environment, ensure purchases are made - stationary/office requirements
-  Process evaluation/feedback forms
-  Recommending and implements office systems / contribute to development of marketing materials/ create and update  timeline / year plan

The successful applicant will need to have:
- Excellent communication and time Management skills
- Be a Team Worker and enjoy being part of a team
- Ambition and be proactive, keen to progress and improve office systems as they become familiar with the role
- Knowledge of Microsoft office: Word, Excel
- a passion for the Outdoors, healthy and active learning environments for children (but enjoy being in the office making it happen!!!)

Preferred but not essential experience of:
ROTA CLOUD - Staff rota software package
Xero - Accounts software package experience
