Terms and Conditions

The Outdoors Project has the following Terms and Conditions to ensure parents and carers know and understand their and our responsibilities.

PLEASE NOTE:

The Outdoors Project is a franchise. The individual Franchise businesses are: Brighton & Hove, Bristol, Cirencester & Chetenham,  West Sussex (Crawley, Worthing, Shoreham, Lancing) The Lewes District (Lewes/Haywards Heath/Uckfield), Nottingham West, Reigate & Redhill, St. Albans, Sevenoaks, Wokingham & Bracknell, Wycombe & The Chilterns.

We are unable to transfer payments, childcare vouchers or credits from one area to another. E.g. if you have made a booking for The Outdoors Project in Brighton, we are unable to move the booking to Lewes.

Registration:

When booking online, parents/carers are asked to complete a brief registration form. It is your responsibility to ensure we have the correct contact details and any medical information concerning your child.

Bookings:

Bookings can be made online. Please note that a £2.50 admin fee will be charged for all telephone bookings  (excluding birthday parties)

Payments:

Holiday Clubs, After School Clubs and Weekend Clubs - All After School and Holiday Clubs must be paid for in advance. Your child’s place will not be guaranteed until payment has been received in full.

Workshops and teaching sessions - Any invoices must be paid in full in advance of sessions or workshops.

Birthday Parties - A £50 deposit will be taken at the time of booking to hold the date. The remaining balance must be paid two weeks prior to the party booking.

Cancellations and Refunds:

Holiday Clubs & Weekend Clubs - Bookings may be cancelled or altered (subject to availability) up to 4 weeks before the date of the booking for a full refund.

Between 4 weeks and one week before the date of the booking, you may change your booking or cancel and receive a credit note.

7 days prior to the booking no refunds or credit notes will be given.
If your child is sick and does not attend, you will still need to pay for the session.

The Outdoors Project holiday clubs run whatever the weather - in the unlikely event of extreme or dangerous weather conditions The Outdoors Project reserves the right to offer an alternative indoor venue or a credit note.

 

After School Clubs - After School Clubs are booked on a termly basis and can only be refunded 4 weeks before term begins.

The Outdoors Project is under no obligation to refund or transfer your money in the event that you are unable to attend part of or the entire course. We regret that we are unable to offer an alternative for missed lessons. Unfortunately, what seems like one simple request is an impractically huge administrative task when spread across hundreds of children.

If your child is sick or does not attend, you will still need to pay for the session.  If your child is not attending the club on their usual day please contact The Outdoors Project directly (not the school office). 

School closure or strike action: As per our T&Cs unfortunately the school closure is beyond our control and we cannot refund/provide credits for these sessions. 

No refunds/credit will be provided if we are not able to open the after school club due to a reason that is beyond our control (i.e school closure or strike action).

Refunds will only be issued in the unlikely event of cancellation of a class or workshop by The Outdoors Project and will not be issued for situations out of our control (i.e. weather, school closures, acts of god or zombie invasions). In such circumstances The Outdoors Project may, but shall not be obliged to, offer rescheduled sessions.  This is very much dependent on the school venue availability.

 

Birthday Parties - Bookings are secured with a non-refundable deposit.  Deposits are non-refundable but transferrable with more than 2 weeks notice.  In the unlikely event of extreme or dangerous weather conditions The Outdoors Project will consult with the customer with regards rescheduling the party at everyone’s nearest convenience. 

 

Saplings - If your child is sick and does not attend, you will still need to pay for the session.  

Saplings clubs run whatever the weather - in the unlikely event of extreme or dangerous weather conditions The Outdoors Project reserves the right to cancel the Saplings session and offer an alternative indoor venue or a credit note.


Credit Notes:  

Credit will be valid for one year from date of issue.

Addition Covid-19 T&Cs:

Closure of Club due to local or national lockdown measures – Customer will receive a credit note for the full value of the booking to be used within 6 months of restrictions being lifted.

Late Cancellation:

Please ensure you arrive to collect your child promptly.  If you are running late, please contact The Outdoors Project office so that arrangements can be made for staff to stay on site with your child.  We need to retain two members of staff on site with any children. We therefore have a late collection fee to cover their additional hours. The late fee is £5.00 for each 15 mins.

Lost Property:

The Outdoors Project does not accept any responsibility for children’s lost property. All lost property will be kept for a week following clubs and then donated to charity. Please contact the office if your child has lost something at one of our clubs.

Complaints Policy:

The Outdoors Project takes any customer complaints very seriously. The Director will respond to any complaint within 24 hours and you will receive a written response within 72 hours. You will be notified if there is any deviation from this response time.
 


The Outdoors Project – Competition Terms and Conditions


1. The promoter is: The Outdoors Project Ltd (company no. 08582148) 
2. The competition is open to residents of the United Kingdom aged 18 years or over except employees of The Outdoors Project and their close relatives and anyone otherwise connected with the organisation or judging of the competition.
3. There is no entry fee and no purchase necessary to enter this competition.
4. By entering this competition, an entrant is indicating his/her agreement to be bound by these terms and conditions.
5. Route to entry for the competition and details of how to enter are via our email newsletter and website sign up box.
6. Only one entry will be accepted per person. Multiple entries from the same person will be disqualified.
7. The Outdoors Project will select a winner each month, picked at random from all mailing list subscribers. No responsibility can be accepted for entries not received for whatever reason.
8. The promoter reserves the right to cancel or amend the competition and these terms and conditions without notice in the event of a catastrophe, war, civil or military disturbance, act of God or any actual or anticipated breach of any applicable law or regulation or any other event outside of the promoter’s control. Any changes to the competition will be notified to entrants as soon as possible by the promoter.
9. The prize is as follows: 1 X £50 Outdoors Project Voucher.
10. The prize is as stated and no cash or other alternatives will be offered. The prizes are not transferable. Prizes are subject to availability and we reserve the right to substitute any prize with another of equivalent value without giving notice.
11. The prize must be redeemed within 12 months of the winner being notified. 
12. The winner will be notified by email within 28 days of the closing date. If the winner cannot be contacted or do not claim the prize within 14 days of notification, we reserve the right to withdraw the prize from the winner and pick a replacement winner.
13. The promoter will notify the winner when and where the prize can be collected / is delivered.
14. The promoter’s decision in respect of all matters to do with the competition will be final and no correspondence will be entered into.
15. The competition and these terms and conditions will be governed by English law and any disputes will be subject to the exclusive jurisdiction of the courts of England.
16. The winner agrees to the use of his/her name and image in any publicity material. Any personal data relating to the winner or any other entrants will be used solely in accordance with current UK data protection legislation and will not be disclosed to a third party without the entrant’s prior consent.
17. The winner’s name will be available 28 days after closing date by emailing the following address: info@theoutdoorsproject.co.uk
18. You are providing your information to The Outdoors Project and not to any other party. The information provided will be used in conjunction with the following Privacy Policy found at www.theoutdoorsproject.co.uk/privacy
19. The Outdoors Project shall have the right, at its sole discretion and at any time, to change or modify these terms and conditions, such change shall be effective immediately upon posting to this webpage.
20. The Outdoors Project also reserves the right to cancel the competition if circumstances arise outside of its control.
